Accounting Clerk

Position Summary & Essential Functions

This position is responsible for performing a variety of accounting, bookkeeping and financial tasks and is a general support to the accounting department.  Some of the essential functions listed below are duties that are shared across the team, but an accounting clerk must be able to complete them if required. 

Essential Functions

Accounts Payable (AP):

  • Vendors
    • Build vendor relations
    • Complete credit applications
    • Able to request terms and credit increases
    • W9s
    • 1099s
    • Bills: Receipts, approvals, entry, and payments
      • Match to purchase orders
      • Tax review
  • Subcontractors (Installers)
    • Review/processing of Subcontract agreements
    • W9s
    • Certificate of Insurance (COI) requirements
    • 1099s
    • Invoices: Receipt, approvals, entry, and payments

Accounts Receivable (AR):

  • Receipt of credit applications
  • Requesting credit approvals
  • Entering of approved customers
  • Processing of invoices
  • Standard Invoices / AIA applications
  • Terms
  • Tax Review
  • Invoice submittal: Email, Upload, Mail
  • Collections
  • Weekly contacts (Email / Phone)
  • 10-day letters
  • Processing of civil claims when necessary
  • Processing of mechanics liens when necessary

Contract Requirements:

  • Prequalification’s
  • Contract review and processing
  • Purchase Order review and processing
  • Change Order review and processing
  • Waivers
  • Certificate of Insurance (COI) requirements
  • Close Out Documents

General Support:

  • AP Payments: ACH, Check, AutoPay
  • AR Receipt of Payments: Cash, Check, Credit Card, ACH
  • Credit Cards
    • Receipt of credit card slips
    • Entry 
    • Reconciliation
  • File Maintenance
  • Equipment/Vehicle Logs
    • Vehicle registration renewals

Position Qualifications:

  • High School Diploma or its equivalent (GED) required
  • 1-3 years of accounting experience or an equivalent combination of education, training, and experience
  • Detail oriented and ability to work with great accuracy
  • Diverse understanding of accounting principles and processes
  • Careful and deliberate with financial calculations
  • Able to work with a variety of people in a fast-paced, team-oriented environment
  • Able to communicate both orally and in writing, using proper spelling, grammar, and punctuation 
  • Able to learn fast and adapt quickly
  • Able to complete tasks with minimal supervision
  • Able to work effectively in a diverse workforce
  • Time management skills, able to prioritize daily workload while planning for upcoming projects

Skills and Abilities:

  • Proficient in the use of Microsoft office, QuickBooks, and other construction-specific software products
